# Member Management

> Invite team members and manage workspace access.

Manage who has access to your workspace under **Settings → Members**.

## Invite New Members

### Using Email Invitation

1. Go to **Settings → Members → Invite**
2. Click **+ Invite**
3. Enter the person's email address
4. Select a role for the new member
5. Click **Send invite**

The invited person will receive an email with a link to join your workspace.

### Using Invite Link

1. Go to **Settings → Members → Invite**
2. Copy the workspace invite link
3. Share the link with new team members
4. They'll receive access once they sign up

## View and Manage Members

### View All Members

Go to **Settings → Members → Team** to see all active members

Go to **Settings → Members → Invite** to see pending invitations

### Edit a Member's Profile

Click on a member to open their profile page. As an admin, you can:

* Edit their **name**
* Update their **profile picture**
* **Impersonate** their account (useful for troubleshooting)
* **Delete** their account

### Change a Member's Role

On the member's profile page:

1. Open the **Permissions** tab
2. View the currently assigned role
3. Select a different role from the dropdown
4. The change takes effect immediately

### Remove a Member

1. Click on the member to open their profile
2. Click **Delete account** to remove them from the workspace

<Warning>
  Removed members lose access immediately. Their data (records, notes, tasks) remains in the workspace.

<Note>
  Emails and calendar events of the deleted member are archived and available for other members.
</Note>

### Reset a Member's Two-Factor Authentication

If a member lost access to their authenticator app, an admin can give them a one-time recovery code.

You need the **Security** permission and two-factor authentication set up on your own account.

1. Click on the member to open their profile
2. In the **Two-factor authentication** section, click **Generate recovery code**
3. Enter the code from your own authenticator app to confirm
4. Copy the code and share it with the member through a channel you trust

The code works once and expires after 1 hour by default. It is only shown once. Generating a new code replaces the previous one, and you can click **Revoke** to cancel a pending code. The member gets an email when a code is issued.

When the member uses the code, their authenticator for this workspace is removed and they are signed out of their other sessions. If the workspace enforces two-factor authentication, they are asked to set up a new authenticator right away. If they leave before finishing, generate a new code for them: until that setup is done, the member can only set up an authenticator through a recovery code.

  You can't generate a recovery code for yourself. Only a server administrator can generate one for another server administrator.
</Note>

## Pending Invitations

Manage invitations that haven't been accepted:

* **Resend**: Send the invitation email again
* **Cancel**: Revoke the invitation before it's accepted

## Approved Access Domains

Allow team members to join automatically based on their email domain:

1. Go to **Settings → Members → Invite**
2. Add your company domain (e.g., `yourcompany.com`)
3. Anyone with that email domain can join without an invitation
